Job Overview
We are looking for a proactive and detail-oriented Project & Customer Support Specialist to provide exceptional customer service and ensure smooth project and pipeline management. This role involves supporting clients via email and phone, coordinating with Product Specialists and Sales Representatives, and managing administrative tasks to ensure seamless project execution.
Key Responsibilities
Customer Support & Administrative Tasks
- Provide excellent customer service via email and phone, offering basic technical guidance.
- Process textile-only and full system product orders, ensuring accurate invoicing and end-to-end communication with clients.
- Obtain shipping quotations for textile-only orders and create quotations in FO and Jedox.
- Assist clients with product suitability questions alongside Product Specialists and Sales Reps.
- Manage accounts, projects, quotations, and contact details in CE.
- Collaborate with Sales and Product Specialists to resolve customer issues.
- Check stock levels and lead times with the production team.
- Handle credit notes, claims, returns, and process sample orders when needed.
Project & Pipeline Management
- Maintain and regularly update project details using input from the team.
- Track and follow up on expired or soon-to-end projects.
- Coordinate quotation and project follow-ups alongside Product Specialists.
- Update project details in CE (e.g., probability, specifications, pricing, status).
- Conduct regular project reviews and check-ins with the team.
- Understand the project lifecycle and different stages of execution.
- Utilize Power BI to monitor pipeline, turnover, and budget allocations.
- Ensure manual project tracking documents align with CE records.
Product Knowledge & Internal Communication
- Develop a strong understanding of company products, their suitability, and technical aspects.
- Prioritize and manage tasks efficiently while monitoring incoming emails.
- Organize and delegate emails to appropriate team members when necessary.
- Maintain clear and effective communication both internally and externally.
Key Skills & Qualifications
- Previous experience in customer service, sales support, or project coordination.
- Strong administrative and organizational skills with attention to detail.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Proficiency in CE, Power BI, and project management tools (or willingness to learn).
- Excellent communication and problem-solving skills.
- Strong understanding of product specifications and project lifecycles.
